Do you require power?
Yes we do. We require two seperate outlets, preferably on different circuits to power our espresso machine and grinder, fridge and pump. If there is no power access and you still want Brewin' Around Coffee to come to your event, we can operate off of a generator for a minimal additional fee.
How much space do you need?
We generally need around a 10x10 space to work comfortably. Arrangements can be made for tighter spaces. We also need a wheelchair ramp if going indoors, and an elevator going up floors. We fit into most standard elevators.
Are you insured?
Yes we are. We carry full business insurance and can name any company as additonal insured if so required. Our insurance policy covers $1,000,000.00.
Are you fully licensed?
Yes we are. We carry all necessary Washington State permits to be in business, including the City of Seattle.
Are you fully permitted by the heath department?
Yes we are fully permitted to operate anywhere with our cart. We follow all health dapartment regulations for the handling of hot and cold foods and cooling and heating guidelines. What are your policies?
DEPOSIT A 50% estimated deposit is due at time of booking. This deposit is non-refundable and is use to hold your event date/reserve it for service from other party’s requesting the same time or date.
FINAL PAYMENT Final Payment for your event is due no later than your event date unless other arrangements have been made. Full amount is non-refundable within 48 hours of event in the event of a cancellation.
FINAL GUEST COUNT Final Guest Count, not subject to reduction, is due 5 days prior to your event date(s). If you need to increase your guest count, within 5 days of your event date, we will make every effort to accommodate your request. Additional fees and charges MAY apply beyond the normal agreed upon expenses outlined prior.
PAYMENT METHODS All prices quoted are based on a cash/check purchase. All client's wanting to pay via credit card will be assessed a non cash payment ( cc processing fee) of 3.75% per the amount of transaction.
WASHINGTON STATE TAX Brewin' Around Coffee Company LLC charges the current rate for Washington State Sales Tax on all packages.
SERVICE CHARGE At the client's discretion, any extra tip/ or gratuity is appreciated but certainly not expected.
TIMELINE You MAY be billed for additional staff hours if your event does not reasonably adhere to the agreed upon timeline.
CANCELLATION BY CLIENT / VENUE / ACTS OF GOD All prepayments and deposits are returned in full ( less 50% deposit) if your event is cancelled by you, your venue or by act of god, 30 days or more, from your event date. If the event is cancelled, within 48 hours from your event date, all deposits and prepayments are forfeited in full. As with any mobile service, there is always the inherent risk of accident, injury, mechanical failure of vehicle, act of God, sudden severe illness or injury , or other unforeseen catastrophe. Brewin Around Coffee Company LLC will refund entire amount of package price including tax in the event of such an uncontrollable circumstance and only after we have exhausted EVERY resource in our availability to provide coffee at your event. In the event of severe weather, ice, snow etc, it will be at the determination of Brewin Around Coffee Company LLC if we feel it is safe to drive truck and trailer on ice or snow. As with any business, we are concerned for our employees safety.
CANCELLATION BY BREWIN AROUND COFFEE COMPANY LLC Brewin' Around Coffee Company LLC reserves the right to terminate this contract for any reason. IF Brewin' Around Coffee Company LLC terminates this contract over 30 days prior to your event date, all deposits and prepayments will be returned in full within 10 days. IF Brewin' Around Coffee Company LLC terminates this contract within 30 days prior to your event date, all deposits and prepayments will be returned in full within 10 days as well as an additional $100.00 penalty. We have never had to terminate a contract and never plan to.
CHANGE OF EVENT DATE or VENUE Brewin' Around Coffee Company LLC will apply the entire balance of your deposits and prepayments ( less $100.00), towards another event. Subject to our availability. All costs are subject to change.
MECHANICAL FAILURE OF EQUIPMENT Our business relies on sensitive equipment to operate. As such, it is possible that such equipment could suffer a mechanical failure during an event. We carry backup equipment for such circumstances and would ask for patience in swapping out equipment in the event of a breakdown. Any time incurred doing so would of course be refunded. We strive to maintain our equipment to the highest degree and have never had a mechanical breakdown.
DAMAGE Brewin' Around Coffee Company LLC assumes no responsibility for ANY damage or loss of any merchandise, equipment, furniture, clothing or other valuables prior to, during or after the event. We will do everything possible to ensure that all of your supplies, rentals and equipment are cared for and maintained in good working order and without any damage. I, the client, understand that by using/ providing items I own or are providing or by hosting an event in my home/ office, that accidents/ breakage and damage may occur. I will NOT bill, charge or sue Brewin Around Coffee Company LLC for any loss unless the damage or loss was caused by the willful negligent actions or conduct of Brewin' Around Coffee Company LLC or it's employees. LIABILITY: Brewin' Around Coffee Company LLC's only liability, for third party claims, will be for actions caused by Brewin' Around Coffee Company LLC and/ or the negligent conduct of it's employees.
THIRD PARTY LIABILITY: Brewin' Around Coffee Company LLC assumes no responsibility for the conduct of guests, members and third parties hired to provide services.
INSURANCE: Brewin' Around Coffee Company LLC Maintains General, Automobile and Liability Insurance. It is the responsibility of the client to provide any specific insurance requirements prior to booking the event date. If there is concern over insurance coverage, please request coverage details prior to payment. 50% deposit will not be refunded in the event that our insurance is not sufficient. Our insurance coverage is industry standard. It is held through Oregon Mutual Insurance Company.
ASSIGNABILITY: This contract is not assignable without the written consent of Brewin' Around Coffee Company LLC.
UNLAWFUL ACTIVITIES: The client will comply with all the laws of the United States and the State of Washington, all municipal ordinances and all lawful orders of police and fire departments, and will not do anything on the premises in violation of any laws, ordinances, rules or orders. If unlawful activities are occurring on the premises, and event is cancelled, their will be no refund of any kind from Brewin' Around Coffee Company LLC to client.
STORAGE: Prior approval from Brewin' Around Coffee Company LLC management is required for any items stored before or after an event.
BAR/ BEVERAGES Client will provide all alcoholic beverages. Brewin' Around Coffee Company LLC may supply soft drinks, juices, glassware, ice, mixers, garnishes and /or bar service personnel if pre-arranged prior to the event.
MENU QUANTITIES Brewin' Around Coffee Company LLC will prepare between 5%-10% overage based on the final number of guests we receive from you. We have a static menu that rarely changes so the drinks we discussed prior to booking your event date will be available on the event date. All private events are unlimited drinks for your guests, unless otherwise pre-arranged. We base this unlimited number on a reasonable desire from each person. If we run our of a particular product for a drink it is because there was higher than USUAL demand for that particular beverage. We cannot foresee this and reserve the right to remove that drink from the menu as supply for it diminishes.
EXCESS PRODUCT Brewin' Around Coffee Company LLC reserves the right to retain all product (i.e. cups, lids etc) that falls beneath the allotted guest count purchase amount.
GUEST COUNT INCREASE OR REDUCTION If your final guest count is increased or reduced, 20% or more than your latest estimated guest count, your menu cost MAY increase proportionally ( based on our present prices).
